Architectural Assistant

As an architectural assistant, you will support the architect with basic tasks to free up their time so they can concentrate on complex responsibilities.

For instance, you might be asked to study building designs and develop initial drawings that highlight the technical details of a project. Your work could also involve coordinating other team members to ensure their activities contribute to the project design. You will also likely be responsible for double-checking compliance, building codes and certifications.

Office Administrator / Bookkeeper

Required Qualifications:
    • A diploma or certificate in office administration, accounting, or bookkeeping as a minimum requirement.
    • Successful candidate must have minimum five (5) years of professional experience in a bookkeeping role.
    • Certified Bookkeeper (preferred).
    • Knowledge of standard office administrative practices and procedures
    • Proficiency in the Microsoft Office Suite and QuickBooks is essential. Familiarity with project management software, BQE Core, and prior experience in the design industry would be valuable assets.
    • Applicants should possess strong professional written and verbal communication skills, along with the ability to prepare reports and offer general accounting support.
  • Duties:

    The successful candidate will be required to perform the following:

    • Exemplify professionalism in the workplace (conduct and dress).
    • Have flexibility to work independently or as a group member.
    • Manage day-to-day office operations, including telephone reception, managing mail / client correspondence, filing (digital and physical), and supply procurement.
    • Proven experience with bookkeeping and financial processes.
    • Develop policies and procedures for the accounting processes, and recommend improvements to existing processes where required.
    • Prepare monthly, quarterly, and annual internal financial statements with insightful variance analysis, budget commentary, and suggestions for improvements.
    • Daily / monthly bank reconciliations and cash management.
    • Become an expert in, and oversee the company’s receivable and payable processes.
    • Maintain the general ledger chart of accounts.
    • Quarterly HST reconciliation / reporting, and other government reporting including EHT, WSIB, etc.
    • Maintain a working relationship with the company’s external accountant, and coordinate preparation of year-end working papers, tax schedules, etc.
    • Processes payroll and all related duties, including employee benefits, new hires / terminations, etc.
    • Create and maintain good client relationships responding promptly to client requests.
    • Experience with professional writing for business audiences.
    • Be comfortable with preparing reports and proposals; completing assignments in a timely and expeditious manner.
    • Contributes to the company’s positive reputation in the community.

    Architect

    Applicants must have first-hand experience in preparing details, specifications, and construction documents.  Strong working knowledge of current versions of AutoCAD, Revit, 3D Studio Max, Sketch-up, Photoshop, Illustrator, Indesign, and Microsoft Office Suite are essential. Must have prior experience working on active construction sites on a multitude of project types.  Expertise in AutoCAD, Revit and MS Office is mandatory.  A Master’s degree in Architecture is required from an accredited school that will allow for Intern status with the Ontario Association of Architects. Candidates should possess excellent written and verbal communication skills, be self-driven, and must have an interest in working collaboratively to produce high end results for our clients.

    Preferred Considerations:
    • Ability to prepare Architectural presentation documents (renderings, boards, booklets, etc);
    • Understanding of Adobe products including Photoshop, Illustrator, and InDesign;
    • Understanding of Rhino, Grasshopper, and parametric design;
    • LEED BD+C Accreditation.
    Duties:

    The successful candidate will be required to perform the following:

    • Ability to work independently in both the office and construction site settings;
    • Be able to select, modify, and suggest architectural techniques / construction methods for projects;
    • Be able to provide high level design suggestions to developments; Perform Ontario Building Code Review(s);
    • Assist in compilation of as-built conditions and site verification;
    • Work directly with owners and clients in a professional manner;
    • Assist team members with project deliverables (drawings and specifications) as required;
    • Be an active participant in design discourse and constructive criticism as it relates to projects;
    • Ensure assigned project needs are met in a timely and expeditious manner.

    Experience

    Qualified candidates must have a minimum of 5-10 years’ experience working on projects in Ontario. Practical knowledge of the Ontario Building Code (Parts 3 and 9) is required.
